Lesson 4 Ms Access
A. Fill in the blanks:-
1. Ms Access is a database Management
System
2. Hyperlink Stores up to
1GB of data.
3. The Primary key is a unique Key.
4. The fields with this data type (text) can have maximum of 255 characters.
5. The maximum size of a number field can be 16 bytes.
B. Write a note:-
1. OLE
Ans: This is used to embed an object created in another
application, such as Microsoft word document Excel spreadsheet, or Power Point
Presentation into the Access table. Stores up to 2 GB of data.
2. Hyperlink
Ans: The Hyperlink data type can store links to web
pages, web sites, files on an intranet or LAN on you computer. It stores up to
1GB of data.
3. Attachment
Ans: This data type allows you to attach images,
spreadsheet files, documents, charts and other types of supported files to the
records in your database, much similar to the manner you attach files to
emails.
4. Table
Ans: It is defined as a group of related data
organized in columns and rows in a datasheet. The columns contain a number of
headings (such as personal number, first name, lat name, address, city, pin
code, telephone numbers etc.) and are known as Fields. A set of fields comprise
a record and finally, a set of similar records make a table.
C. Short Answer question
1. What is Database Management System.
Ans: Ms Access is a database Management package which
is a part of Ms office. It provides handy tools to work with data fields that
help operate, maintain and manipulate various records effectively.
2. State the difference between OLE and Hyperlink
Ans:
OLE |
Hyperlink |
This is used to embed an object created in another application, such as Microsoft word
document Excel spreadsheet, or Power Point Presentation into the Access
table. Stores up to 2 GB of data. |
The Hyperlink data type can store links to web pages, web sites, files
on an intranet or LAN on you computer. It stores up to 1GB of data. |
3. What do you mean by data types?
Ans: Data types are used to declare the fields of a
table. A data type determines the type of data. A particular field can accept.
Once the data type is defined, we cannot enter different type of data in it. If
we try to do so, an error message will be displayed.
4. Explain the use of Primary key in a table
Ans: Primary key is a standard feature of every
database management system. A Primary key is a short of check on the table that
uniquely identifies each record in a table. It does not contain any duplicate
data. A table can have only one Primary key. The value in the Primary key field
is different for every record and thus helps in uniquely identifying the
record.
5. What are the features of Ms Access.
Ans: Commonly used features in Ms Access. The
frequently used of the features of Ms Access are explained below:
Table : It is defined
as a group of related data organized in columns and rows in a datasheet. The
columns contain a number of headings (such as personal number, first name, last
name, address, city, pin code, telephone numbers etc.) and are known as Fields.
A set of fields comprise a record and finally, a set of similar records make a
table.
Primary key : Primary
key is a unique field by which records are identified in a table. For e.&.
in a table of student's record, the 'Registration Number' can be called the primary
key.
Query : Query helps
you retrieve information from a table as and when required. So the basis of
extracting information from a database is known as 'Query'. Forms : When a
query is made, the system retrieves the information from the table and makes it
available to us the user. Thus, the format of displaying the information from a
particular table is called 'form'.
Report : The end
product of data manipulation in DBMS as per the user's choice is known as
'Report'. You may get the report as a hard copy or a soft copy. The reports are
generally created after making queries on the database.
